Resume Scanner AI – Step-by-Step Guide

This guide walks you through each stage of using Resume Scanner AI, from signing up to exporting your optimized resume. Follow the steps below to make the most of the platform.

1. Sign Up or Log In

  1. Access the Website
    Navigate to the Resume Scanner AI website. If you already have an account, click Log In, otherwise, click Sign Up.
  2. User Dashboard
    After logging in, you’ll arrive at the main dashboard, which offers shortcuts for starting a new scan, managing an existing scan, or exploring features like cover letter generation and checklists.

2. Start a New Resume Scan

  1. Open the New Scan Form
    Look for the New Scan button on the dashboard and click it to open the scan form.
  2. Provide the Job Description
    Paste the relevant job advertisement text (minimum 500 characters) into the Job Description field, ensuring you focus on the key responsibilities and exclude any job benefits, application instructions, or other extraneous details. The system will identify essential keywords and requirements from this description.
  3. Upload or Reuse Your Resume
    • Option A: Upload a .docx File – Click Upload or Choose File to select your .docx resume.
    • Option B: Use Saved Resume – If you uploaded or created a resume before, select Use Saved Resume to load it automatically.
  4. Submit
    Click Save Scan.

    A loading indicator will appear while your resume is analyzed.
    If you uploaded a new resume, it may take up to 25 seconds to process because the system converts it into an ATS-friendly format.
    When using a previously saved resume, it typically takes only a few seconds, as the document is already formatted and can reuse any previously optimized keywords.

    Tip: We recommend re-scanning your optimized resume 2–3 times against the same job description to ensure that all relevant keywords are captured.
    If you apply for similar jobs in the future, reusing your saved resume lets you build upon past optimizations. Over time, these incremental keyword enhancements make your resume even more robust for each new application.

3. Edit and View Your Resume

  1. Resume Editor
    Once the scan completes, you’ll see the Resume Editor. Your resume is displayed on the left in an editable text area.
  2. Autosave
    Any changes you make are saved automatically. Adjust bullet points, headings, or grammar to enhance your resume.
  3. Manual Adjustments
    Manually fine-tune anything in your resume. These modifications carry over to subsequent scans and AI optimizations.

4. Keywords and Score

  1. Keywords & Scoring Panel
    The right panel lists Keywords that may be missing from your resume and shows a Score (e.g., “80%”) reflecting how closely your resume aligns with the job ad.
  2. Select Missing Keywords
    Check the box next to the keywords you want to add. Some may have a star () to signify high priority.
  3. Resume Score
    The system recalculates your score as you add or remove keywords. A higher score indicates better alignment with the job requirements.

5. AI Optimization (Inserting Keywords Automatically)

  1. Choose Keywords
    Select the checkboxes for any keywords you’d like the AI to seamlessly integrate into your resume.
  2. Click “AI Optimize”
    Click AI Optimize. The system will insert the chosen keywords naturally into your resume text, showing a brief “optimizing” indicator during the process. Once inserted, those keywords will be highlighted in green to help you spot them easily.
  3. Review Changes
    Once finished, your updated resume appears in the editor with newly added keywords. Your score updates automatically.
  4. Removing Keywords
    If a keyword isn’t appropriate, uncheck it. The system will remove that keyword from your resume.
    Tip: If you find certain keywords don’t fit right now, try adding other relevant keywords first. You can always revisit and re-check the removed keywords later if they become suitable for your resume.

6. Generating a Cover Letter

  1. Open Cover Letter Section
    Click on the Cover Letter tab or link in your navigation.
  2. Fetch Existing Cover Letter
    If you previously generated and saved a cover letter, it appears here.
  3. Generate New Cover Letter
    Click Generate Cover Letter. The system will use your current resume and job ad details to produce a tailored letter. Review and regenerate as needed.
  4. Tip: If you want your cover letter in a specific language (e.g., Spanish or French), be sure to enable the “Force Language” setting. This instructs GPT to generate the entire cover letter solely in that chosen language.

7. Creating a Resume Checklist

  1. Open Checklist Section
    Select the Checklist tab or button.
  2. Generate Checklist
    The system checks for missing elements such as contact info, grammar issues, formatting, or required skills.
  3. Review the Checklist
    You’ll get a list of items needing attention. Make any necessary corrections in the Resume Editor.

8. Exporting Your Resume

  1. Find the “Export Resume” Button
    Look for the Export Resume option in the toolbar or near the editor.
  2. Format
    For ATS compatibility, .docx is recommended.
  3. Download
    Save the file to your computer. Your resume is now fully optimized for job applications.

9. Checking or Updating Your Score

  1. Real-Time Updates
    Your score automatically refreshes as you modify keywords or make AI-driven changes. A higher percentage indicates stronger alignment.
  2. Re-scan for Different Positions
    If applying to multiple jobs, start a new scan for each distinct job ad to receive personalized keyword suggestions.

10. Additional Notes

  • Keyword Selection Limit: The system may limit how many new keywords you can add in one optimization session to ensure performance.
  • Rate Limitation: Scanning too frequently can trigger a rate limit error. Wait a few moments before attempting another scan. Also, please keep your resume to 2–3 pages maximum, an overly lengthy resume may cause processing issues within the system.
  • Manual Edits: You can always revise or remove AI-inserted text, and these changes are autosaved automatically. Note that if you manually add new keywords (or make other changes), your score won’t update immediately. To refresh your score, run a new scan while using your saved resume, ensuring the system recognizes all new edits.
  • Force Language Setting: Enabling a “Force Language” option tells GPT to keep its entire response to one specified language—e.g., strictly English or strictly French—regardless of any multilingual hints. This helps ensure your resume stays consistent in a single language.
